Yardi & AppFolio

Property operations, leasing, and accounting that stay consistent across your portfolio.

What Yardi and AppFolio do for mid-size property operators

Yardi and AppFolio are property management platforms that bring leasing, accounting, maintenance, and reporting together for residential, commercial, and mixed portfolios. Yardi supports larger and more complex portfolios with structured accounting, lease administration, budgeting, and reporting across multiple properties, entities, and property types. AppFolio supports streamlined leasing, online payments, maintenance coordination, and resident and tenant communication for operators who need efficient day-to-day workflows without a heavy administrative burden. Both systems hold the operational and financial data your teams rely on: leases, tenants, units, work orders, payments, charges, and owner and management reporting.

Mid-size operators often run into the same friction as their portfolio grows. Properties are set up inconsistently, so charges, fees, and lease terms do not match across sites. Lease data, move-in and move-out dates, and renewal information contain errors that flow into accounting and reporting. Maintenance requests are tracked in email or spreadsheets, so follow-up and vendor coordination slip. Payments, late fees, and reconciliations take extra manual work. Reporting depends on exports and spreadsheets, which makes vacancy, arrears, and owner statements hard to trust. Integrations with banking, accounting, customer relationship tools, or Microsoft 365 and Azure break or were never fully connected.

HarjTech supports, administers, integrates, optimizes, and advises on Yardi and AppFolio for mid-size Canadian companies. We help operations, finance, and IT teams stabilize administration, clean up property and lease data, improve leasing and maintenance workflows, tighten controls, and connect property data to Microsoft 365, Azure, and Power BI for clearer reporting. We coordinate with your vendor and other providers when needed, and we document processes so the system does not depend on one person. The aim is practical: consistent operations across properties, cleaner financial data, and reporting your leadership can use.

Our lease and tenant data has errors. How do you help clean it up?

We start by reviewing how leases, tenants, units, charges, and move-in and move-out data are entered and maintained across your properties. Many errors come from inconsistent property setup, unclear field definitions, manual entry without checks, and corrections made outside the system. We identify duplicate records, mismatched charge codes, incorrect dates, and missing documents, and we agree on data standards so every property follows the same rules.

We then help your team correct the highest-impact records first, especially those that affect billing, arrears, renewals, and owner reporting, and we put controls in place to keep data clean, such as standardized templates, approval steps for adjustments, and regular data-quality reviews. We document the standards and train your team to maintain them. Book a scoping call and we will review where lease and tenant data breaks down and what cleanup would look like.

We are considering moving between Yardi and AppFolio, or to another platform. Can you advise?

Yes. HarjTech provides neutral advisory on whether a move makes sense, and what it would actually involve. We review your portfolio size and mix, number of properties and units, leasing and accounting needs, maintenance workflows, integrations, reporting requirements, and the pain points driving the conversation. Sometimes the right answer is to stay and fix configuration, data, and workflows. Sometimes a move is justified because the current platform cannot support your portfolio mix, accounting structure, or reporting needs without heavy workarounds.

If a move is warranted, we help you define requirements, assess options, understand data migration and cleansing work, plan cutover and close implications, and coordinate with vendors and accountants. We do not push a replacement to create project work, and we do not present HarjTech as an implementer or seller of non-Microsoft products. Our role is to give you a clear, evidence-based recommendation. Book a scoping call to talk through what is driving the move and what success would look like.

What happens on the scoping call?

The scoping call is a focused working conversation, not a sales presentation. We ask about your portfolio, property types, number of properties and units, which platform and modules you use, how leasing, maintenance, and payments work today, where reporting breaks down, and what your operations, finance, and IT teams want to improve. We also discuss who owns the system today, how support works now, and any upcoming deadlines such as a year-end close, an audit, or a portfolio change that affects timing.

By the end of the call you should have a clear sense of whether HarjTech is a fit, what the next step would be, and what information we would need to confirm scope. If a deeper assessment is needed, we will explain what it covers and why. Investment is confirmed on the scoping call once scope is understood, and there is no obligation to proceed. Book your call and bring your current pain points and your reporting needs if you have them.

How does ongoing support and advisory work after the initial work is done?

Ongoing support is structured around your operations and finance calendar, not around ad hoc tickets alone. We agree on how requests are raised, how changes are approved, and who owns user administration, property setup, charge controls, and reporting maintenance. Regular check-ins cover open issues, upcoming closes, integration health, and planned changes such as new properties, modules, or reporting needs. We document procedures and keep a log of changes so knowledge stays with your organization, not with one person.

Advisory support gives your operations, finance, and IT leads a senior sounding board for questions about controls, workflows, reporting, integrations, and system fit, without needing a large project each time. We also coordinate with your vendor and other providers when issues cross providers. If your needs grow, we can adjust the support model. Book a scoping call and we will outline a support rhythm that fits your team.

Can HarjTech take over support for our Yardi or AppFolio system from our current provider?

Yes. HarjTech regularly takes over support where the current provider is slow to respond, documentation is thin, or knowledge sits with one person. We start by reviewing your portfolio setup, properties, users and permissions, lease and charge configurations, integrations, open issues, and any documentation you have. We confirm who your vendor and other provider contacts are, and we agree on a handover plan that keeps leasing, maintenance, payments, and month-end work running without disruption.

During transition we stabilize the highest-risk items first, such as access, payment and charge controls, integration health, and reporting that leadership relies on, and we document procedures so your team is not dependent on any single provider. We coordinate with your outgoing provider where that is helpful, and we set a clear support rhythm for requests, changes, and close support. Book a scoping call and we will map your current setup and propose a handover plan that fits your operations.

How do you help with permissions, financial controls, and audit readiness?

We review who can do what in your property system and compare that to your policies and your finance and audit expectations. That includes user roles and permissions, who can post charges, adjust balances, waive fees, approve work orders, or change lease terms, and whether approvals are documented. We look at audit trails, adjustment controls, and segregation between operations, finance, and approval roles, and we flag gaps where access is broader than it needs to be or where procedures are undocumented.

We then help you apply least-privilege access, document approval workflows for charges and adjustments, standardize fee and charge controls, and prepare the records your finance leadership or auditor will ask for. We do not replace your accountant or auditor, and we do not give audit opinions. We help you operate the system in a way that is easier to explain and easier to evidence. Book a scoping call and we will review your current permission model and control gaps.

Why HarjTech instead of a Big Four firm or the vendor's own services?

Big Four firms and vendor services teams can be a fit for very large transformation programs, but mid-size operators often need something more direct: senior people who understand the day-to-day reality of running Yardi or AppFolio across multiple properties, who stay accountable after changes go live, and who connect property data to the Microsoft stack your team already uses. HarjTech focuses on that operating reality. We help you stabilize administration, clean up data, improve leasing and maintenance workflows, tighten controls, and coordinate with your vendor without adding layers of handover.

Our work is scoped to your actual problem, documented so your team can run it, and supported on an ongoing basis rather than delivered as a one-time report. We are vendor-neutral in our advice on non-Microsoft products, which means we will tell you when staying, fixing, or moving is the right call. Book a scoping call and compare our approach to what you have been offered elsewhere.

How long does a typical engagement take?

Timing depends on scope, portfolio size, data quality, integrations, and your team's availability, especially around close, audit, and leasing peaks. An initial health review or assessment is typically a short, focused engagement that gives you a prioritized findings list and a plan. Cleanup, workflow, and reporting work is usually phased, so you see usable improvements early rather than waiting for a single large delivery. Ongoing support is continuous and follows a rhythm that matches your operations and close calendar.

On the scoping call we will ask about your deadlines, your close dates, and any vendor or audit constraints, and we will outline a realistic sequence with dependencies and decision points. We do not promise timelines before we understand your portfolio and your data, and we will flag risks that could affect timing. Book a scoping call and we will propose a sequence that respects your operations.
