Microsoft Dataverse

One governed data foundation for every Power Platform app, portal, and workflow — so business data stays consistent, secure, and auditable.

What Dataverse Does

Microsoft Dataverse is the governed data platform underneath Power Apps, Power Automate, Power Pages, and Dynamics 365. It provides structured tables, relationships, business rules, security roles, and audit in one place, so applications built on it share the same definitions, the same permissions, and the same history. Instead of each team keeping its own spreadsheet, SharePoint list, or Access database with a slightly different version of the customer, the product, or the case, Dataverse holds one governed record that every app, portal, and workflow can use. For enterprise teams, Dataverse turns scattered business data into a managed asset.

The Business Problem It Solves

Most organizations do not have a data shortage — they have a data fragmentation problem. The same customer appears in five places with five spellings. Approvals live in email. Reports disagree because each one pulls from a different source. Shadow apps multiply because teams cannot wait for IT, and each one creates a new silo that no one governs. Dataverse addresses that by giving business data a single, secure home with clear ownership, permissions, and lifecycle. When data is governed at the platform level, apps built on top of it inherit the same rules, reports reconcile, and access can be audited. Teams move faster because they build on a trusted foundation instead of rebuilding the same tables for every new request.

How HarjTech Helps

HarjTech designs Dataverse environments that enterprise teams can actually govern and grow. We start by understanding your core business entities — customers, cases, assets, projects, vendors, employees — and how they relate, then design a data model that is clean enough to maintain and flexible enough to extend. We configure security roles, business units, column-level controls, and audit so each team sees what it needs and nothing more. We migrate data from spreadsheets, SharePoint lists, and legacy systems with validation and reconciliation, and we train your makers and admins to build on the foundation without creating new silos. The result is a data platform your organization can trust.

How does support work after go-live?

After go-live, HarjTech supports your Dataverse platform through a defined support arrangement that matches your team's capacity. That can include monitoring and incident response for tables, flows, and integrations, fixes for data or security issues, changes to tables, rules, or roles, and periodic reviews of capacity, audit, and access. We document the data model, security roles, environment strategy, and admin procedures so your team can handle routine administration without waiting on us. For teams that want to own the platform fully, we provide admin and maker training and a handover plan. For teams that prefer HarjTech to remain involved, we agree on response expectations, change cadence, and a roadmap for enhancements. The scoping call clarifies which model fits your internal capacity and risk tolerance.

How do we migrate from spreadsheets, Access, or legacy databases to Dataverse?

Migration starts with understanding what you have, not just moving it. HarjTech inventories your spreadsheets, Access databases, SharePoint lists, and legacy tables, then maps each source to a Dataverse table, identifies duplicates and quality issues, and agrees on what to cleanse, what to archive, and what to migrate. Data is loaded in stages with validation and reconciliation so counts and key fields can be checked before users rely on the new tables. Business rules and approvals that lived in spreadsheets are rebuilt as Dataverse rules or Power Automate flows. We run a pilot with a representative team, fix issues, and then cut over in phases so work does not stop. The scoping call clarifies your source systems, data volume, and quality so we can plan a migration that is realistic and verifiable.

When should we use Dataverse instead of SharePoint lists?

Use SharePoint lists when you need simple, document-centric tracking with light structure — a team task list, a small request log, or a list that lives alongside documents. Use Dataverse when the data is core business data that multiple apps, teams, or processes will share, when you need relational structure, strong security, audit, or complex business rules, or when the data will grow and need governance. SharePoint lists become hard to govern when they multiply, when permissions are set item by item, or when the same entity is tracked in several lists. Dataverse gives you one governed table with consistent definitions, roles, and history. HarjTech reviews your current lists on the scoping call and recommends which should stay in SharePoint, which should move to Dataverse, and which should be retired.

Why HarjTech instead of a Big Four firm for Dataverse?

Big Four firms bring breadth, but data-platform work often gets staffed with generalists and layered with overhead that slows delivery. HarjTech is focused on the Microsoft stack, so the people who scope your Dataverse foundation are the people who understand data modelling, security roles, ALM, and Power Platform governance in depth. You work directly with senior consultants who make decisions, document trade-offs, and stay accountable through migration and beyond. Our engagements are scoped to the foundation you actually need, with a fixed scope and clear phases, rather than an open-ended programme. For organizations that want a governed data platform their own team can maintain, that senior, focused model is often faster and easier to govern. The scoping call is the best way to test that fit.

What is Dataverse and how is it different from a database like SQL Server?

Dataverse is a governed data platform built for business applications, while SQL Server is a general-purpose relational database. Dataverse includes tables, relationships, and security out of the box, plus business rules, validation, audit, and integration with Power Apps, Power Automate, Power Pages, and Dynamics 365. Security roles, business units, and column-level controls are part of the platform, so apps built on Dataverse inherit them without custom code. SQL Server gives you more control over database design, performance tuning, and complex queries, and it remains the right choice for many transactional or analytical workloads. The two often work together — Dataverse for governed business data behind Power Platform apps, SQL Server or Azure SQL for systems that need it. On the scoping call, we map your workloads to the right platform rather than forcing everything into one.

How does Dataverse scale for enterprise workloads?

Dataverse is designed for enterprise use, with support for large tables, relationships, and concurrent users across apps, portals, and flows. Scale depends on good design as much as on platform capacity — clean data models, indexed lookups, appropriate use of calculated fields, and flows that avoid unnecessary loops all affect performance. HarjTech designs for the volume and concurrency you actually expect, tests with representative data, and monitors usage so issues are caught before users feel them. Where a workload needs heavy analytical processing or very high-volume transactions, we may recommend keeping that workload in Azure SQL or a dedicated system and synchronizing summaries to Dataverse. On the scoping call, we discuss your volumes, peak patterns, and reporting needs so the design matches real demand.

Can Dataverse integrate with Dynamics 365, Microsoft 365, and our other systems?

Yes. Dataverse is the data layer for Dynamics 365 applications, so it integrates natively with sales, customer service, and other Dynamics workloads. With Microsoft 365, Dataverse connects to Teams, Outlook, SharePoint, and Excel through Power Automate and connectors, so approvals, notifications, and document handling flow alongside the data. For other systems — ERP, CRM, HR, finance, or line-of-business applications — we integrate through Dataverse connectors, APIs, Azure Logic Apps, Azure Data Factory, or the Dataverse Web API, depending on volume, latency, and direction of sync. The goal is to keep Dataverse synchronized with systems of record, not to duplicate them. On the scoping call, we inventory your key systems and recommend an integration pattern that keeps one authoritative source for each entity.

How does Dataverse licensing work?

Dataverse licensing is tied to how users and apps access the platform, with different considerations for users who build apps, users who run apps, and external or portal scenarios. Capacity — storage for data, files, and logs — is also part of the picture and grows with usage. The right approach depends on how many makers and users you have, whether access is through Power Apps, Power Pages, or Dynamics 365, and how much data you will store. Licensing is separate from the cost of design, migration, and governance work, and Microsoft adjusts licensing periodically, so we discuss it qualitatively on the scoping call rather than quoting a figure here. HarjTech helps you understand the options in plain language and size a model that fits your actual usage pattern.
