Xero

Clean, current books in Xero — reconciled regularly, organized for your accountant, and easy for your team.

What Xero does for a small business

Xero is cloud accounting software that helps small businesses track income and expenses, send invoices, manage bills, reconcile bank activity, and see their financial position. It keeps your books in one place, accessible to your team and your accountant, instead of spread across spreadsheets, receipts, and bank statements.

Small businesses often fall behind in Xero for practical reasons, not lack of effort. Bank feeds stop syncing cleanly, categories drift, contacts duplicate, invoices go out late, and small coding errors compound. By the time month-end or year-end arrives, the books need a major cleanup, and owners stop trusting the numbers they need to make decisions.

HarjTech supports Xero for small Canadian businesses that want their books to stay current and reliable. We help you tidy the chart of accounts, fix bank feed and reconciliation issues, clean up contacts and items, connect Xero to the tools you use every day, and support your team when something does not reconcile. We do not replace your accountant or bookkeeper. We keep the system healthy so their work is faster and your reports reflect reality.

With steady support, Xero becomes a tool you can rely on week to week. Owners can see an honest cash position, staff can enter invoices and expenses the same way every time, and your accountant receives books that are already organized. That consistency turns bookkeeping from a year-end scramble into a routine part of running the business.

Support keeps the system steady as your business changes.

What does ongoing support for Xero look like?

Ongoing support means you have someone watching for problems before they pile up. That includes checking bank feeds, fixing sync and reconciliation issues, answering staff questions, keeping lists tidy, and making small setup adjustments as your business changes.

We keep a simple log of changes and issues, so you and your accountant can see what was done. The aim is steady books: fewer month-end surprises, cleaner reports, and a system your team can trust week to week.

Support is practical, not theoretical. When staff ask the same question twice, we document the answer so the next person does not need to ask again. When a small fix prevents a larger cleanup later, we make it and note it, so you can see the value of staying current.

How does Xero support work alongside our existing tools?

Xero does not need to replace everything you use. We help it fit alongside your CRM, point-of-sale, payroll, and banking tools, with clear rules for what lives where. That avoids double entry and keeps your team from guessing which system to update.

If a tool is duplicating work or causing repeated errors, we will say so. We will not push you to change tools for the sake of it. The goal is a simple, connected setup that keeps your books accurate without extra admin work.

We also help you avoid rip-and-replace churn. If a tool is working well, we keep it and make the connection better. If two tools overlap, we help you decide which one should own each piece of data, so your team has one clear place to update and one clear place to look.

What happens on the scoping call for Xero support?

On the scoping call, we ask how you use Xero today, where the friction is, and what you want to be true at month-end. We talk through how you invoice, how you record expenses, who touches the books, and how you work with your accountant or bookkeeper. If it helps, we can look at your setup together on screen.

By the end of the call, you will understand what needs attention, what we would support, and what the next step would be. Scope and investment are confirmed on the call, so you know what you are agreeing to before any work begins.

You do not need to prepare anything formal for the call. It helps to have a short list of what is not working and who uses the system, but we will guide the conversation. If you decide to proceed, we agree on scope and next steps together, with no surprise work afterward.

Do you offer fixed-scope work or ongoing support for Xero?

Both. Fixed-scope work fits a defined job, such as a cleanup, a reconciliation catch-up, a setup review, or an integration. We agree on what is included, what is not, and what done looks like before we start.

Ongoing support fits businesses that want someone to watch bank feeds, fix issues early, answer staff questions, and keep categories and lists tidy. Many small businesses start with a cleanup and then move to ongoing support so the books do not drift again. We will recommend the option that fits your situation on the scoping call.

Many businesses start with one defined project and then decide on ongoing support once they see the system stay clean. There is no obligation to commit to ongoing support up front. We will recommend a starting point that fits your budget, your team size, and how much change the system needs.

How do you handle security, access, and backups in Xero?

We help you apply practical security habits. That includes setting up roles so staff, bookkeepers, and accountants see only what they need, reviewing who has access, removing access promptly when people leave, and helping you use strong sign-in practices.

For backups, we help you confirm what Xero retains, how to export key reports and data on a schedule, and who is responsible for keeping a copy. We also help you document who can change settings or export data, so access stays controlled.

We also recommend a regular access review, especially when roles change or staff leave. A short quarterly check of who can see, edit, or export data helps you catch stale access early and keeps your security posture aligned with how the team actually works today.

Can HarjTech take over Xero from our current IT person or provider?

Yes. We start with a review of your current setup, including users, access, bank connections, integrations, and the state of your books. We document what we find and agree on priorities with you and, where relevant, your accountant or bookkeeper.

We also confirm that your business owns its Xero organisation and data, and that admin access is held by the right people. If a previous provider still holds access, we help you transition it cleanly so nothing depends on someone who is no longer supporting you.

We keep the transition low-disruption. Your team keeps working while we review and document the setup, and we agree on any changes before we make them. If there are urgent issues, we address those first so the handover does not leave you waiting for help.

Who does the work on our Xero?

Your work is handled by HarjTech, led by Harjot and supported by vetted subcontractors where needed for delivery. You will have a clear point of contact and a record of what was done.

We work inside the access you approve and within the scope you agreed to. You keep ownership of your Xero organisation and your data. If your accountant or bookkeeper needs to stay in the loop, we coordinate with them so everyone is working from the same information.

Communication stays simple. You will know what is planned, what is in progress, and what was completed. If a question needs your decision, we will explain the options in plain language and wait for your go-ahead before changing anything that affects your data or your team.

Can you help us migrate to Xero from spreadsheets or another accounting system?

Yes. We support migrations from spreadsheets and from other accounting systems. We start by reviewing what you have, deciding what history to bring over, and agreeing on opening balances, contacts, and items. A migration is a good time to clean up old categories and duplicates.

We plan the move in stages, test with a sample of data first, and check balances and key lists after import. We also help your team learn the new workflow so invoicing and expense entry stay consistent from day one.

After the move, we stay available while your team settles in. Early questions are normal, and quick answers in the first weeks help staff build good habits. We will check counts and key records again after cutover so you can trust that nothing important was left behind.
