Microsoft 365 for Small Business

Email, files, Teams, and security that just work — set up properly, kept tidy, and supported when your team needs help.

Microsoft 365 is the everyday platform for many small Canadian businesses. It brings together email in Outlook, files in OneDrive and SharePoint, chat and meetings in Teams, and the Office apps your team uses to write, calculate, and present. When it is set up well, staff can find files, share safely, join meetings, and work from the office or from home without chasing passwords, links, or old versions.

Small businesses often run Microsoft 365 without a clear structure. Mailboxes pile up after staff changes. Files live in personal OneDrive folders instead of shared team sites. Teams channels multiply without naming rules. Sharing links stay open longer than intended. Sign-in problems, password resets, and missing emails eat up the owner's time. Backups and retention are assumed to be handled, but no one has confirmed what is actually protected.

Security is where small gaps become real risk. Shared logins, weak passwords, and former staff who still have access can expose client information. Devices are not consistently protected. Owners worry about phishing and account takeovers, but do not have time to review settings, policies, and alerts. Growth makes it worse: each new hire is set up differently, and each departure leaves a little more clutter behind.

Microsoft 365 is HarjTech's core platform, and it is where our team has the deepest hands-on experience. We help small businesses set up, administer, secure, and support Microsoft 365 as part of everyday IT support. That includes tenant and mailbox administration, SharePoint and Teams structure, device and sign-in protection, and troubleshooting for Outlook, Teams, and Office apps. We document your setup, fix what is broken, and keep the platform organized so your team can focus on client work rather than IT friction.

FAQs

Do you offer a one-time project or ongoing support?

Both. Some businesses need a fixed-scope project, such as a migration, a SharePoint and Teams cleanup, or a security review. Others want ongoing support for user changes, troubleshooting, and small improvements over time.

On the scoping call we help you decide which fits. If your Microsoft 365 is basically sound but keeps drifting, ongoing support often makes more sense than repeated one-time fixes. If you have one clear project, a fixed-scope engagement may be enough. Either way, we document what was done and what to watch for, so the next person who supports the system does not start from zero.

If your team is unsure where to start, begin with the scoping call. We will listen to how your team works, identify the most useful fix first, and leave you with a clear plan you can act on.

How long does a Microsoft 365 cleanup or migration take?

It depends on how many users, mailboxes, and files you have, and how much cleanup is needed. A small cleanup for a handful of users can often be completed in days. A larger migration with many mailboxes, shared files, and Teams channels takes longer because we migrate in stages and check samples with you along the way.

On the scoping call we will ask about your user count, current storage, and timing constraints, and outline a realistic schedule. We plan cutovers to reduce interruption, and we keep you updated so your team knows what to expect at each step.

On the scoping call, we will review how your team uses Microsoft 365 today, agree on what needs attention first, and outline a practical next step so you can decide with clear information.

Who does the work — HarjTech or someone else?

HarjTech is accountable for the support you receive. Work is delivered by HarjTech and, where needed, by vetted subcontractors working under HarjTech's direction. You have one point of contact with HarjTech, and we coordinate the work behind the scenes.

We do not present subcontractors as Microsoft employees or claim a Microsoft partnership or certification we do not hold. If a task requires Microsoft support, we coordinate with them and keep you informed. On the scoping call we will explain who would handle your setup and ongoing support, and how communication and follow-up will work.

Can you migrate our email and files from Gmail, another provider, or an old server?

Yes. HarjTech plans and carries out email and file migrations into Microsoft 365 from Gmail, Google Workspace, another Microsoft 365 tenant, or an older mail or file server. We start by reviewing your current mailboxes, folders, and file storage, and agreeing on what should move, what should be archived, and what can be left behind.

We migrate in stages, check samples with you, and confirm that email, calendars, contacts, and files land in the right places. We also help you update signatures, shared mailboxes, and forwarding rules, and we coordinate the cutover so your team can keep working with as little interruption as possible.

We already have Microsoft 365 — what would HarjTech actually fix?

Most small businesses we help already have Microsoft 365. The problem is rarely the product. It is the setup around it: mailboxes from former staff, files in personal OneDrive folders, Teams channels without naming rules, sharing links left open, and sign-in problems that keep coming back.

HarjTech reviews your tenant, mailboxes, SharePoint, Teams, and security settings, then fixes the structure, cleans up what is stale, and documents how it should work going forward. We also become the support contact your team calls when Outlook, Teams, or file access breaks, so the owner stops being the default IT help desk.

What about backups and recovering deleted files or emails?

HarjTech helps you understand what Microsoft 365 protects by default and where you need a separate backup or retention plan. Many small businesses assume deleted mail or files can always be recovered, but retention and recovery depend on your settings, licences, and how long ago the item was deleted.

We review your current retention, recycle bin, and recovery options, help you recover what can be recovered, and recommend a backup approach that fits your risk and your workflow. On the scoping call we will ask what you need to protect, such as client files, financial records, and email history, and outline a practical plan.

How do you clean up SharePoint, OneDrive, and Teams?

We start by mapping where files actually live today, including personal OneDrive folders that should be shared team files, duplicate SharePoint sites, and Teams that are no longer used. Then we agree on a simple structure for sites, libraries, and channels that matches how your team works.

We move files to the right locations, fix permissions and sharing, archive what is stale, and set naming and ownership rules so the cleanup holds. We also show your team how to share safely, find files quickly, and avoid recreating the same sprawl. The goal is a structure people can follow without needing IT help for every file.

Can you set up Microsoft 365 for a new business?

Yes. HarjTech helps new small businesses set up Microsoft 365 from the start, including tenant setup, domain connection, user accounts, mailboxes, and Teams and SharePoint structure. We set up naming rules, sharing rules, and a simple joiner and leaver process so the platform stays tidy as you hire.

We also help you choose a sensible starting structure for files and Teams based on how your team actually works, rather than copying a template that does not fit. After setup we test email, file access, and meetings with your team, and provide short guides so staff can get going without a long learning curve.

HarjTech documents what was checked and what was changed, so your team knows how Microsoft 365 is set up and what to do when a new issue appears. This documentation keeps the setup consistent even when staff change.
